Adding Titles from OCLC
This occurs most often with Gifts and Direct
orders.
1. After searching Unicorn and determining that the item is not in the local system, log into OCLC Connexion:

Go
to the search screen by clicking on this icon in the upper left hand side of
the toolbar:

Scan
the ISBN or UPC into the search box for Standard Number:

If you get a “No records found…” message, try to search by author or title. If
you retrieve a record by this search, check the publisher, date, and pagination
to make sure it is the correct record for the item in hand.
If a record does come up by ISBN, double check the
300 field and add as necessary. (Note
that the spacing may differ from the spacing in Unicorn.)

Remove 856 fields except for Table of
Contents.
Next, add a 949 field for the appropriate library by
going to Edit – Constant Data – Local – Apply from List (or simply press Control L to bring
up the list).

You
may then set a default library by opening the library for which you are
currently adding titles and then selecting Edit -- Constant Data -- Local -- Set as
Default. A window will pop up. Click
OK. Now that there is a default
library, you can just click Control Y to
insert the 949 field.

It
will ask you if you want to search the local constant data file. Click OK and a
list of the libraries and their holding codes will appear.

Highlight
the library the item belongs to and click the box that says Apply Selected. This window will disappear and you will
be returned to the full MARC record. Notice
that there is now a 949 field with the appropriate holding code at the end of the
record.

7.
You
may now add the Call number, price, and barcode. If the item is a GIFT, leave the subfield x w/
GIFT. If it is not, erase everything after the price. It will look like this for non-gifts:

For gifts it will

8.
Next
you will validate the record by clicking on the check mark icon on the toolbar.

Then
you will save it to the local file by clicking F4 or going to Action – Save
Record to Local File

Then you will update the holdings by
clicking F8 or going to Action – Update Holdings:

Then
you will export the record by clicking on F5 or going to Action – Export, OR
you can click the export button on the toolbar:

If it is the first export of the day, a
message will appear asking if you want to Overwrite, Append, or Cancel. Click APPEND!
(For God's sake, always pick APPEND!)

There is a MACRO set up as a shortcut so
that you only have to perform one step to Update the Holding, Save to Local File, and
Export the record. The shortcut is set
up as F7 on most PC's.
If you did not find a title in Unicorn or OCLC,
you
will create a brief record in Unicorn.
