LOADING LTI QUARTERLY AUTHORITY FILES

 

 

Retrieving the files from LTI

 

1. Connect to FTP Surfer / LTI .

 

2. Select (highlight) the following eight files by pressing CTRL and clicking on the files:

 

SCRAN-AUPYYQ.LSB

SCRAN-AUPYYQ.LSA

SCRAN-AUPYYQ.ULH

SCRAN-AUPYYQ.CHG

SCRAN-AUPYYQ.LCN

SCRAN-AUPYYQ.LCS

SCRAN-AUPYYQ.LCJ

SCRAN-AUPYYQ.LCDEL

 

3. Disconnect from FTP Surfer site.

 

 

Importing  the files into Unicorn

 

1. Open the MarcImport wizard.

 

2. Under the Import tab, select File Type: MARC.

 

3. In the “Source” field use the gadget to locate the file on your hard drive. Enter the Destination file name. See the chart below.

 

Important:  Import these files one by one.  The Destination file name must be in CAPs  as indicated in this table:

4. Click Import.

 

5. When asked if the diskette is ready, answer Yes.

 

6. When asked if there are more files to download, answer No.  A word processing program on your PC will open with a report.

 

7. Close the word processing program.

 

8. Repeat instructions to load the remaining files.

 

 

Loading the Records into Unicorn

 

1. Invoke the Schedule New Reports wizard.

 

2. Go to the Templates tab.

 

3. You will need to run each of the following reports:

 

          AUP LTI JUV LOAD

        AUP LTI NAME LOAD

        AUP LTI RECORD LOAD

        AUP LTI SUBJECT LOAD

 

 

 

4. Select a report and click on Setup and Schedule.

 

5. Go to the Authority Data File tab and choose the imported file that corresponds to the report (e.g. LTINAMEAUP corresponds to AUP LTI NAME LOAD etc.)

 

6. Select Run Now.  

 

7. When report has finished, view the file, and check number of records for each file against the number you recorded. 

 

Importing DELETE File into Unicorn

 

1. Open the MarcImport wizard.

 

2. Under the Import tab, select File Type: MARC.

 

3. In the “Source” field use the gadget to locate the file on your hard drive. Enter the Destination file name. See the chart below.

Delete authority records

 

 

4. Click Import.

 

5. When asked if the diskette is ready, answer Yes.

 

6. When asked if there are more files to download, answer No.  A word processing program on your PC will pop up with a report.

 

7. Print the report.

 

8. Close the word processing program.

 

9. Manually remove the records in the report using the Delete Authority wizard.
