Control and Delivery:
This is the final stop for items before they leave Technical
Services and go to the libraries for circulation. Here, we make sure the items have been
processed correctly both in terms of cataloging and physical processing and
then distribute them to the destination libraries.
1. Count the number of items on the truck. If this number does not match the "Total Items" number on the truck, check the items against the “Outs” form from the “Ins&Outs” database and/or against packing slips to make sure all items are there. If any items are missing, they should be noted as these will need to be located and dealt with.
2. Open up the file named ‘Ins&Outs: Outs.’ It should be on the desktop, but if not, it can be found as 'Acq.mdb' on the ‘Tech_Services Share.’ Check the list for the truck you are working on. For each order on the truck, fill in the ‘Date Out’ column with today’s date. Then, click the forward arrow button at the bottom of the form.

3. Check the items for physical processing errors. This includes labels, security, label covering / lamination, proper packaging of talking books/CDs, etc. A full description of how items should be processed can be found in Processing Instructions by Format. Also, any post-it notes on the items should be removed unless they indicate that an item is a 7-day (i.e.; NEWBOOK / SHORTLOAN) item. (This will become important when you edit the Item Type and Home Location.)
4. Set Item-level information. This is where you edit items in Unicorn to reflect the proper Item Type and Home Location, whether the items are GIFT, JUVENILE or MEMORIAL, and the number of pieces associated with each barcode. (This refers mainly to multiple CD/DVD/VHS sets.) See the Quick Reference Guide for a complete list of how these edits should be carried out.
Global Item Modification – In most cases, the Global Item Modification wizard can be used.

Begin scanning barcodes into the Item ID field.
Note:
You will have to do separate global edits for different types of items. For example, if you have a truck with hardcover and paperback books, you will have to edit all hardcover books, click Reset, make new selections for the paperbacks, and then begin scanning in the barcodes associated with the paperbacks. Be careful that you do not miss these changes. Keep an eye out for memorial items, 7-day/non-reservable books (these should have flags or post-it notes on them), and items with several pieces associated with one barcode.
Edit Item Wizard – The Global Item Modification wizard cannot be used to edit the number of pieces associated with an item. In these cases, use the Edit Item wizard instead.

5. Once all items on a truck have their Item-level information properly entered, use the Check Item Status wizard to send them Intransit to the appropriate Owning Library or, in the case of items with holds, the Pickup Library.
Items going to holds should receive a strip of the ‘New’ tape as in this example:.

6. Find the place where the destination library's outgoing items are placed for final shipment. Green Ridge and Scranton Reference are placed in the two upper shelves of the metal rack:

Community library items are placed in bins on the remaining shelves. To locate the bin for specific library, use the color-code below and locate the bin that has the specified colored dot and label. The lock hanging above it on the shelf will also match.
Abington: Green
Carbondale: Orange
Dalton: Red
North Pocono: Black
Taylor: Pink
Valley: Yellow

Adult circulation, Children's, and "Jack's CD's" are placed in bins on the floor:

Place all items in the proper bin taking care not to exceed the 25lb weight limit. When the bins are filled, place them on the floor for transport.

7. For any items that have problems (physical
processing flaws, call number problems etc.), follow all of the steps above, but
bring the items to the attention of the Head Cataloger or Acquisitions
Supervisor instead of putting them
in the bin for the library.
Security: All items for Scranton and Abington receive security with the exception of Cassette Talking Books, DVDs and Videos. Scranton Reference items also receive the Checkpoint security tag.
Other Processing: All items must be processed correctly. All barcodes and labels must be
covered either by lamination or by tape. Also, the name of the Owning Library must be written on
all discs for CD talking books
