SETTING UP SERIALS CONTROL RECORDS


Exporting New Records

 

Determine if the title is new or if the library already owns it.  If it is a new title, go into Connexion and export the record.  Locate the ISSN NUMBER, found on the inside pages of the magazine, and search Connexion by ISSN NUMBER. Do not use HYPHENS (eg.  00321540). Select the record that has the closest match to that 7 digit number. 

 

Select EDIT, Constant Data Manager. Click on the Branch (SC,GR,PR,DAL) which ordered and will hold the copies of the magazine.  Click on APPLY.  The 949 tag will appear on the record.  Edit the 949 line.  Currently serials titles are set up at SCRANTON (includes Circulation and Children’s), GREEN RIDGE, PROVIDENCE, DALTON. The HOLDING CODE can be found in Workflows/Serials wizard in the MODIFY CONTROL screens, on the OPAC DISPLAY.  USE EXAMPLES BELOW:

Delete any delimiters after the holding code.  Select EDIT, REFORMAT.  Select UPDATE HOLDINGS, EXPORT. 


Setting Up the Control

 

1. Invoke the Create Control wizard.

 

2. Search by PERIODICAL TITLE and, when search results appear, click on the appropriate title.

 

3Select magazine title and pull up record.  You can now set up the Serials Control Record.

 

4. Click on Create Control.

 

 

5. Select the appropriate Library and Holding Code. For Holding Code, see the chart above.

 

 

 

 

6. Go to the the Basic tab.

 

New Control ID: Use the "3,2,2,1" OCLC title construction. For example, New Your Review of Books will have a Control ID of NEW,YO,RE,O

 

Status: ACTIVE

 

Vendor Title #: Used for  Ebsco orders only

 

Base Call Number:  The Base Call # will be either PERIODICAL, MAGAZINE, or JUV MAGAZINE plus the first word of the magazine title (e.g. PERIODICAL UTNE). If the title has a common name such as "American,"  add a second word to distinguish it from other titles (e.g.; PERIODICAL LIBRARY JOURNAL).

7. Click on Modify Control.

 

 

 

8. Go to the Patterns tab.

 

9. Scan the magazine to determine the Enumeration pattern of the publication and fill in the required fields.  Fill in the Chronology pattern and the Publication pattern.

 

10. When you are finished, click on Modify Control. 

 

 

 

 

11. Go to the OPAC Display tab. If you would like the Latest Issues field to refresh automatically, check

"Automatically update MARC holdings. When you are finished, click on Modify Control.

 

 

 

12. Go to the MARC Holdings tab.

 

13. Click on the desired "Location--Linked to."

 

 

 

14. Add an 866 line and click on Save and Close. See Serials Checklist for information on how to construct holdings statements.

15. Go to the Subscription tab.

 

Copies to receive: Indicate the number of copies we receive under this control record.

 

Number of issues: Indicate the number of issues we will receive under the subscription term.

 

Expiration Date: Enter the Expiration Date of the subscription.

 

Fiscal Cycle: Enter the current year.

 

Vendor ID: Select the appropriate vendor.

 

Library: This is always TECHSERVS.

 

16. Click on Modify Control.

 

 

 

 

17. Go to the Extended Info tab. Fill in information regarding who approved order, date the order was mailed, what library the order is for, # of issues and the cost.  If you need to create another Note line do so, and fill in information you may need  (eg. Modify date, route magazine first to  SEE EXAMPLE BELOW).  Click on Save Changes, More Changes. Fill in publication cycle (e.g.; monthly) on Physform line.

 

18. Click on Modify Control.

 

 

 

 

19. If appropriate, go to the Routing tab. Use the Create a Routing button to create a routing.

 

20. Click on Modify Control.
