1. Click on “Checkout”
or press F5.
2. At the User ID prompt, scan or type in the User ID #. If
you do not know it, use “Lookup User” which appears in the upper left-hand
corner of the Checkout window.
3. At the Barcode # prompt, scan in the item's barcode.
4. When you are done charging materials to that particular
user, click on “Checkout New User” to check materials out to another user.
(NOTE: To close an open window, press ESC.)
NOTE: Workflows will print out a receipt for the user. When
you are done charging out to a user, go over to the receipt printer and press
the "Sel" button. When the "Sel" light is off, press the
"LF" button to advance the paper. Tear off the user's receipt and
give it to him/her. Press the "Sel" button again to reengage the
printer.
DISCHARING
1. Click on “Discharging”
or press F6,
2. Scan in the item barcode.
3. Watch the screen for Holds or Intransit messages.
4. When you are done, press ESC to close the window.
1. Click on “Renew User Charges”
or press F7.
2. If you know the User ID, scan or type it in. If not,
click on “User Lookup” to find it by name.
3. When the Renew User screen appears, select All in the
Renew field to renew all user charges. To renew selected user
charges, select Selected in the Renew field. Select the appropriate charge(s)
by clicking on the gray box next to “renew.”
4.Click on OK.
5. A message will appear telling you if any of the renewals
failed. If any failed, investigate them by clicking on Review Items.

do not know it, click on the Lookup User icon which appears in the Bill a User
window.
4. Click on OK.
5. When the “Enter Bill Information” window appears, enter
the bill amount in the “Bill Amount” field as in the following example: 5.00
6. Click on “Pay Later”. (NOTE: In most cases, LCLS
libraries do not create bills in Workflows for fines/fees that the user decides
to pay immediately.)
1. Click on “Pay Bill”
or press F8.
2. Scan or type in the User ID # or use “Lookup User” if the
User ID is unknown.
3. Information about how much the user currently owes will
appear.
4. Tab over to the Payment field and type in the amount of
money you have received from the user (even if you owe them change) as in the
following example: 5.00
5. In the Payment Type field, select one of the following:

6. Click on OK.
7. The amount of change you owe the user will appear in the
Change field.
1. Click on “User Display”
or press F2.
2. Lookup the user by name or User ID.
3. Click on OK or press "Enter" to call up the
user’s record.
NOTE: To see
the user’s PIN number, use the Modify User wizard.
NEW USER REGISTRATION
1. Ask the user for proper ID (e.g.; valid LCLS card;
driver's license; U of S, Marywood, or Penn State student ID).
2. In “User Display”
or press F2
to look up the user by name to make
sure they are not already registered.
3. Click on “New User Registration”
or press SHIFT + F1.
4. Attach the next available user barcode (one that says
"Lackawanna County Library System") to the library card. NOTE: User
barcodes begin with the number 4. Item barcodes begin with the number 5.
5. In the “Profile Name” field, select one of the following:
ADULT: A user
who is thirteen years of age or older who lives in Lackawanna County.
JUV: A user who
is twelve years of age or younger who lives in Lackawanna County.
ACCESSADU: A
user who is thirteen years of age or older who does not live in Lackawanna
County but who has a card from another library with an Access PA sticker.
ACCESSJUV: A user
who is twelve years of age or younger who does not live in Lackawanna County
but who has a card from another library with an Access PA sticker.
NETONLY: A user
who is a non-resident, cannot produce valid ID, or does not have a permanent
address who requires Internet access. The user is assigned a 1 month privilege.
User cannot check out any materials other than Internet terminals.
NON-RESADU: A
user who is thirteen years of age or older who does not live in Lackawanna
County but who has paid the non-resident fee.
NON-RESJUV: A
user who is twelve years of age or younger
who does not live in Lackawanna County but who has paid the non-resident
fee.
SPECIAL: A user
who is a board member, staff member, or volunteer at any LCLS library.
STUDENT: A user who does not live in
Lackawanna County permanently, but who
is a student at the University of Scranton, Marywood College, or Penn State.
TEMP: A user who
has no permanent address. The user is assigned a 1 month privilege and limit of
three items at a time.
6. Put your cursor in the User ID field. Type or scan in the
User ID. If you typed it in, press “Enter.” If you scanned it in, do nothing.
7. A new window will appear. In the Lastname, Firstname
field, type in the user's name as in the following example: Gingrich, Newt Delete all remnants of Name Not Yet
Supplied.
8. Tab down to the Title field. Type in one of the following
depending on the desire of the user:
Mr.
Mrs.
Miss
Ms.
9. Tab down to the Alt ID field. Type in the user’s PA
drivers license number, social security number, Marywood student ID number, U
of S student ID number, or Penn State student ID number, or old LCLS number.
Type in the number without dashes or spaces. Please use the following prefixes:

10. Tab down to
the “Library” field. It should default to your library. If your library name
does not appear in the field, please select it from one of the following

13. Tab over to the “Municipality” field and select the name
of the municipality where the user currently lives. NOTE: This may differ from
the city listed in the user's mailing address.
14. Tab over to Student Affil. Fill in only if the user
is enrolled at a university or college that has a reciprocal borrowing
agreement with the Lackawanna County Library System. Type in the name of
the school as follows:

15. Tab over to the Birth mmyy field. If the user appears to
be age 18 or below, obtain the user’s date of birth from their ID. Enter it
using the mmyy format. Thus, someone born on July 5, 1982 would have the
following characters in their Birth mmyy field: 0782
16. Click on the “Addresses” tab. Type in the user's primary
address (where they reside most of the year) in Address #1. For student users this should reflect their
in-county address. If there are uncommon
circumstances, please use the Extended Information tab.
17. If the user is a student,
enter their home address in the Address #2 section. For all other users, this
should reflect their 2nd address.
18. If necessary (e.g.; if the user has a different summer
address), fill out the Address #3 section.
19. Click on OK when you are done and the user will be
registered.
20. Return the signature form to the SPL Circulation
Department.
CONFIRM
ADDRESS
1. Click on “Confirm Address” ![]()
2. Look up user by name or User ID.
3. Click on OK.
4. Edit as needed.
5. Click on OK when you are done.
USER LOST CARD
1. Click on User Lost Card: ![]()
2. Lookup the user by name or User ID.

4. Click on the “Summary” tab and make sure the user’s
status is OK. If status is DELINQUENT or BLOCKED, the user should return all
delinquent materials and pay all associated bills before he is issued new card.

current. If it is not, edit address information by clicking on Confirm Address:

RENEW

TRAP HOLDS
USAGE: This
wizard is used to send on-shelf items with holds INTRANSIT to the Pickup
Library. It is usually used in tandem with the Picklist.
1. Click on “Holds Maintenance”
or press SHIFT + F9
2. Click on the “Trap Hold wizard” ![]()
3. In the Barcode field, scan or type in the Item ID of the item.
4. Follow on screen instructions.
SPECIAL SCENARIOS
If the item listed on the Picklist is missing…
1. If you are certain the item is missing, click on the Mark Item
Missing wizard and type in the Item ID. Override as required. If another
library has an available copy of the item, it will appear under that library on
the following day’s Picklist. If there is another copy in the system that is
CHECKEDOUT, the hold will be treated like a normal system-level hold. If the
missing copy is the only copy in the system, the hold will remain with the item
until the item is discharged or replaced.
2. If the missing item
is located, discharge it and route as instructed
If only one part of a multi-part
set appears on the Picklist….
1. Look up the item using the Item
Display wizard. (See Section Twenty-One.)
2. Click on the Holds tab and take
note of the User ID and Pickup Library associated with the hold.
3. Use the Place Hold wizard to
place a Copy Level hold(s) on the barcodes of the pieces that do not appear on
the Picklist. Make sure the User ID and Pickup Library are identical to the hold
that appears on the Picklist. (See Section Fourteen for more information on
placing a hold.)
4. After creating Copy Level holds
for all of the barcodes associated with the item, use the Trap Hold wizard to
see them Intransit to the Pickup Library.
If you have multiple copies of a
title, but the copy on the Picklist is missing….
1. OPTIONAL: If you are sure the
item is missing, apply the Mark Item Missing wizard to the item. (See Section
Twenty.)
2. Use the Trap Hold wizard to
send the alternate copy Intransit to the Pickup Library.
If, upon applying the
Trap Hold wizard, you receive an “Item has no holds” error...
1. Put the item back on the shelf.
If a Picklist
item is not on the shelf and the item has a Current Location of CHECKEDOUT…
1. Do nothing. When that item is discharged or another copy of the same title is discharged, it will go to fulfill the hold. IMPORTANT: Items that have a Current Location of CHECKEDOUT should not be marked MISSING.
If another patron tries to check out an item with holds prior to
applying the Trap Hold wizard…
1. If a patron tries to check out an on-shelf item with a hold
before you have a chance to apply the Trap Holds wizard, you will receive the
following message in the Checkout wizard: On Hold in Another Library.
2. Select Checkout to User. The item will be checked out to the
user, but the hold will still be on all copies of that title.

NOTE: All items must be removed by the Technical Services
Department.

ILL-BOOKS: When an ILL-BOOK is
returned and discharged, it should be forwarded to the Scranton Public Library
with the following notation: Route to ILL Office. The short record for that
item will be removed by the Inter-Library Loan Department.
ITEM SEARCH
AND DISPLAY
1. Click on “Item Search and Display”
or press F10.
1. Click on the oval
next to “Exact” so that it turns black and select Item ID from the pull-down
menu of searchable fields below the word Search.
2. Tab over to the field to the right of “Item ID” and scan
in the Item ID.
3. The wizard will default to the “Bib” tab that contains
bibliographic information on the title that corresponds to the item ID.
4. Moving to the “Vol/Copy” tab will give you specific
information on the item in question. TO DISPLAY DETAILED INFORMATION ABOUT AN ITEM
SUCH AS DATE LAST CHARGED, PREVIOUS USER ETC, click on the call number and Item
ID which are underlined with a broken line and appear above the Vol/Copy tab.
5. To display lists of current charges or holds on that
specific item, click on the Checkouts or Holds tabs. If the tabs are not
displayed, click on the tab with the right arrows.
1. Click on the oval next to “Search” so that it turns black
and select the index you would like to search (e.g.; General, Author, Title
etc.) from the pull-down menu of searchable fields below the word Search.
2. Tab over to the field to the right of the one you were
just working with and type in your search term.
3. Click on OK.
4. A list of titles that match your search will appear.
Click on the one you are interested in so it turns blue and click on the
“Detailed Display” button.
5. The wizard will default to the “Bib” tab which contains
bibliographic information on the title you selected.
6. Select the “All Volumes” tab and select the copy you
would like to display in detail.
7. Click on the “Display Vol/Copy” button.
8. The wizard will default to the “Bib” tab which contains
bibliographic information on the title you selected.
9. Moving to the “Vol/Copy” tab will give you specific
information on the item in question. TO DISPLAY DETAILED INFORMATION ABOUT AN
ITEM SUCH AS DATE LAST CHARGED, PREVIOUS USER ETC., click on the call number
and Item ID which are underlined with a broken line and appear above the
“Vol/Copy” tab.
10. To display lists of current charges or holds on that
specific item, click on the “Checkouts” or “Holds” tabs. If the tabs are not
displayed, click on the tab with the right arrows.
1. Click on “Set Options” for “Item Lookup” which is in the
upper left-hand corner of the Item Search and Display wizard.
2. Select the “Browse” tab.
3. Change the Shelving Scheme from LC to DEWEY.
4. Click on OK.
5. Blacken the oval next to “Browse”.
6. Select “Call Number” as the field to search.
7. Enter the call number but do not click on
OK or press “Enter” at this time.
8. Select a “Library”.
9. Click on OK or press “Enter.”
REMOVING A
USER
1. Click on the Command pull-down menu.
2. Select My
Wizards.
3. From the list of possible selections, select USERREMOVE.
4. Click on OK.
5. Lookup user by Name or User ID.
6. A screen will appear with information on the user. After
checking to make sure it is the right user, click on Remove User.
1. Click on the “Print” icon ![]()
2. Workflows will call up Word Pad or Word.
3. Click on the File pull-down menu.
4. Select Print.
5. When the Print window appears, click on OK.
6. When printing is complete, click on the File pull-down
menu.
7. Select Exit to return to Workflows.
STARTING AND
STOPPING STAFF WORKSTATIONS
TO START STAFF WORKSTATIONS:
1. Press the power button on the front of the computer and
monitor.
2. Workflows should then come up automatically. If it does
not, double-click on the Workflows icon on the desktop.
3. When prompted for your User ID and PIN, enter them and
click on OK.
4. Wait for files to load. Depending on where you are, it
could take as long as five minutes. If the computer freezes in the middle of
loading the file, click on CANCEL and exit out of Workflows by choosing Exit
from the File pulldown menu. Return to Step #2.
TO STOP STAFF WORKSTATIONS:
1. Select Exit from the File pulldown menu.
2. Answer OK when warned that you are about to end your
workstation session.
3. When you have been returned to the Windows desktop, click
on the Start Menu in the lower left hand corner of the screen.
4. Select Shutdown.
5. Select Shutdown the Computer.
6. Click on Yes.
7. Turn off power button on monitor.
STARTING AND

ITEM SUCH AS DATE LAST CHARGED, PREVIOUS USER ETC, click on the call number and
Item ID which are underlined with a broken line and appear above the Vol/Copy
tab.
5. To display lists of current charges or holds on that
specific item, click on the Checkouts or Holds tabs. If the tabs are not
displayed, click on the tab with the right arrows.
1. Click on the oval next to “Search” so that it turns black
and select the index you would like to search (e.g.; General, Author, Title
etc.) from the pull-down menu of searchable fields below the word Search.
2. Tab over to the field to the right of the one you were
just working with and type in your search term.
3. Click on OK.
4. A list of titles that match your search will appear.
Click on the one you are interested in so it turns blue and click on the
“Detailed Display” button.
5. The wizard will default to the “Bib” tab which contains
bibliographic information on the title you selected.
6. Select the “All Volumes” tab and select the copy you
would like to display in detail.
7. Click on the “Display Vol/Copy” button.
8. The wizard will default to the “Bib” tab which contains
bibliographic information on the title you selected.
9. Moving to the “Vol/Copy” tab will give you specific
information on the item in question. TO DISPLAY DETAILED INFORMATION ABOUT AN
ITEM SUCH AS DATE LAST CHARGED, PREVIOUS USER ETC., click on the call number
and Item ID which are underlined with a broken line and appear above the
“Vol/Copy” tab.
10. To display lists of current charges or holds on that
specific item, click on the “Checkouts” or “Holds” tabs. If the tabs are not
displayed, click on the tab with the right arrows.
1. Click on “Set Options” for “Item Lookup” which is in the
upper left-hand corner of the Item Search and Display wizard.
2. Select the “Browse” tab.
3. Change the Shelving Scheme from LC to DEWEY.
4. Click on OK.
5. Blacken the oval next to “Browse”.
6. Select “Call Number” as the field to search.
7. Enter the call number but do not click on
OK or press “Enter” at this time.
8. Select a “Library”.
9. Click on OK or press “Enter.”
1. Click on
What’s In Transit? ![]()
2. Wizard will display all items currently IN TRANSIT to
your library. You can sort by Date
Sent, Call Number, Title, Originating Library.
3. Click on the Receive Item button to receive an In Transit
item at your library.
1. Click on Receive Items In Transit. ![]()
2. Scan or type in the barcode.
3. The wizard will provide you with instructions for
handling the item.
NOTE: Use this wizard to take items out-of-transit that are
in transit to another library.
1. Press F12 or click on Check Item Status. ![]()
2. Scan or type in the barcode.
3. The wizard will provide you with the current status and, if
appropriate, suggest possible actions.
Mark Item Missing
1.
Click on Mark Item

Type in barcode
number of missing item (note: field to the left of barcode needs to be set for
item id).

Click OK.
STANDALONE
1. Exit out of
Workflows by clicking on the File pulldown menu and selecting Exit.
2. Insert the
Standalone diskette in the diskette drive.
3. Double-click on
the Standalone icon.
4. If the program
runs in a window, click on the button at the top of the window that contains
four arrows pointing up / down / left /
right. If the program fills the entire screen, proceed to Step #5.
5. At the C:\windows
prompt, type the following:
A:
Press Enter.
6. At the A:\ prompt, type the following:
wsstand
Press Enter.
7. When the prompt
"Command:Login" appears at the top of the screen, press ENTER.
8. In the User Access
field, make sure the login that you usually use appears. If it does, press
ENTER. If it does not, type it in and press ENTER.
9. The phrase
"Login Complete" should appear in red near the top of the screen.
10. Press F5 to test
the Charge Item command. Scan in a User Barcode.
11. Check to see if
the barcode scanned correctly. If it did, proceed to Step #14. If it did not,
return to Step #10 and type in the barcode number.
12. Check to see if
it typed correctly.
13. If it did, press
ENTER. If it did not, halt Standalone using the instructions that appear below.
Insert another Standalone diskette and return to Step #3.
14. Type or scan in
the Item Barcode.
15. If the message
"Charge Recorded" appears on the screen, you may begin charging items
on Standalone.
16. IMPORTANT: In
Standalone, you have the opportunity to enter an Alt Due Date. Do not
use this field. When the standalone diskette is loaded, the system will automatically
compute the due date based on the item type.
USING STANDALONE:
HELPFUL TIPS
* Use Standalone only
for charging unless instructed otherwise by Scott.
* Do not switch from
Standalone to normal operations until you are instructed to do so by Scott
(even if you discover that the system has been restored).
* Receipt printing is
not available on Standalone.
* When exiting
Standalone, always use the instructions below.
HALTING AND LOADING
STANDALONE DISKETTES
1. At the end of the
business day or when instructed to do so by Scott, halt Standalone by returning
the cursor to the line labeled "Command:". You can do this by holding
down the SHIFT key and pressing TAB once.
2. Type the following
in the line labeled "Command:":
HALT
Delete all extra characters
with the space bar and press ENTER.
3. At the A:\ prompt,
type the following:
EXIT
4. Press ENTER to
return to Windows.
5. Send the used
Standalone diskettes to Scott via the van for reprocessing.
